Role Purpose
The MS Planner, Deputy Rollout Manager is responsible for owning, governing, and maintaining the Microsoft Planner ecosystem for the TfL iBus2, ensuring all activities, tasks, dependencies, and resource plans are structured, accurate, and continuously updated.

The role ensures Planner becomes the single source of truth for all planning and supports end‑to‑end coordination across back office, integration, engineering, installation teams, operators, and TfL stakeholders.

The postholder also provides Deputy Rollout Manager capability, supporting leadership, decision‑making, and escalation handling when required.
 
Core Responsibilities
1. Microsoft Planner Ownership (Primary Responsibility)
  • Own, configure, and maintain the Planner boards used across the entire iBus2 programme
  • Define and enforce Planner governance: naming conventions, buckets, tags, categories, and workflows.
  • Ensure all tasks, dependencies, milestones, and responsible owners are accurate and up to date.
  • Build filtered views, dashboards, and reporting outputs for Programme Governance, TfL, Operators, and Engineering.
  • Train INIT staff, supplier teams, and Operator contacts in Planner best practice and usage discipline.
  • Drive adoption and ensure Planner remains the authoritative planning tool for daily decision‑making.
 
2. Rollout Planning & Scheduling
  • Build a detailed, data‑driven rollout schedule using Planner as the core planning platform.
  • Align installation activity with engineering readiness (software, configuration, hardware availability).
  • Maintain depot‑level readiness views, vehicle availability schedules, and resource allocations.
  • Produce short‑term (daily/weekly) and long‑term (multi‑month) forecasts directly from Planner to feed governance packs.
 
3. Operational Delivery Support
  • Use Planner data to coordinate installation teams, mobile engineers, and depot access windows.
  • Monitor Plan‑vs‑Actual using Planner and flag deviations, risks, and bottlenecks early.
  • Ensure installation evidence and QA checkpoints align with tasks and milestones in Planner.
 
4. Deputy Rollout Manager Responsibilities
(Activated in the absence of the Programme Rollout Manager or when delegated)
  • Act as key point of escalation for operators, engineering teams, and TfL on rollout‑related issues.
  • Represent the rollout function at governance meetings, readiness reviews, and daily operational calls.
  • Support strategic planning, risk mitigation, and cross‑functional alignment with suppliers and engineering teams.
  • Provide leadership, guidance, and direction to field engineers and rollout resources.
 
5. Stakeholder & Operator Coordination
  • Ensure operators have clear visibility of upcoming activity through Planner‑derived plans and reporting.
  • Confirm access windows, engineering constraints, safety rules, and fleet availability with depots.
  • Provide TfL with reliable, Planner‑driven reporting across schedule, risk, and progress.
 
6. Governance, QA & RAID Control
  • Maintain rollout RAID items in coordination with PMO and the Programme Rollout Manager.
  • Ensure Planner task updates feed directly into governance packs and decision logs.
  • Validate installation QA checks are aligned with Planner milestones and acceptance criteria.
 
Key Skills & Experience (Focused Version)
Essential
  • Strong ownership and expertise in Microsoft Planner, including board structuring, workflow design, filtering, reporting, and governance.
  • Experience managing complex planning environments (ideally engineering, field deployment, or transport).
  • Excellent stakeholder engagement skills with operators, field teams, and senior programme leaders.
  • Ability to interpret engineering documentation and installation standards.
  • Strong organisational discipline and attention to detail.
 
Desirable
  • Experience supporting or acting as a deputy manager within a rollout or engineering delivery function.
  • Familiarity with ITS, CAD/AVL, telematics, or on‑vehicle electronic installation programmes.
  • Experience working with TfL or UK bus operators.
 
Success Measures
  • Microsoft Planner becomes the authoritative, accurate and trusted single source of truth.
  • High adoption and compliance across all workstreams.
  • Smooth alignment of planned vs actual installation progress.
  • Strong operational relationships with TfL operators and INIT engineering teams.
  • Clear escalation management and reliable Deputy Rollout Manager support
